Caseload, a UK-built practice management platform, is offering therapists and coaches in private practice one system to handle enquiries, bookings, reminders, clinical records and payments. The platform is aimed at counsellors, psychotherapists, psychologists, hypnotherapists, CBT therapists and coaches who run their own practices and currently manage administration across several separate tools.
Caseload is organised into eight modules. A Lead Centre tracks new enquiries and sends automatic follow-ups. Booking and scheduling uses secure client links and connects with Google Calendar and Google Meet. Intake and consent forms collect structured questionnaires and log consent before the first session.

Session notes are encrypted using AES-256-GCM, and practitioners can record SUDS scores and chart client outcomes over time. Invoicing and payments run through Stripe, so clients can pay at the point of booking. A secure portal provides end-to-end encrypted messaging between practitioner and client.
Data protection is central to the product. Therapy records count as special category data under Article 9 of UK GDPR, and Caseload logs consent, keeps a tamper-evident audit trail and can export a subject access request in around 30 seconds, according to the company.
